If you have attended an HOA meeting, you may have noticed that while an organized meeting might be the goal, it isn’t always easy to achieve. You may have even wondered if an organization should be forgotten all together. When homeowners get together, feelings and opinions may be quite strong and maybe more of an open forum-style meeting would be more productive. Whether you are pro organized meeting or would rather attend a brainstorming session, here are the pros and cons to having an organized HOA meeting.
Pros
Business
A well-organized meeting is important for many reasons. It is the perfect format to share the business of the organization with all members. HOA meeting topics may sound boring but these are all important to the functioning of your neighborhood and the value of your property.
Accomplish Multiple Goals
A well-thought-out agenda is important for an organized meeting. Have clear agenda items and save time for discussion for the end of the meeting. A meeting should last between one and two hours and many are held in the evening.
Encourage Attendance
Make sure and invite members well in advance and offer incentives to encourage attendance. It is not out of the ordinary to offer pizza and refreshments during a dinner-time meeting. If you meeting goes longer than two hours, it might be a good idea to split meetings and hold 2 or 3 shorter meetings.
Cons
Encourage Communication
Special meetings may not require strict organization. From time-to-time an issue may arise that involves your entire HOA membership. An example could include a
safety concern, some sort of legal matter or maybe a leaky roof. In these cases, it might be necessary to call a special meeting to involve all members. During the meeting, you will only be discussing one issue and it is important that all members are allowed to ask questions and
voice their opinion. Be sure to keep the agenda focused (short) and the discussion time plentiful.
Low attendance
Perhaps your meeting date falls during spring break and you simply have low membership attendance. In this case, perhaps an organized meeting isn’t required. Keep agenda items to the bare minimum and limit discussion to a few minutes. Attendees will appreciate you saving them some time.
HOA meetings are a great way to participate in your community. Whether your meetings are organized or more haphazard they are always worth the time and effort.
