Importing from QuickBooks Desktop Pro

$19 per year you would like to import. This is a one-time fee. (We only import full years, no partial years)

We will import one financial year during your trial. We would be happy to import more financial years once your subscription has started.

Note: Because MoneyMinder is a cash basis accounting system, you must be using cash basis accounting in QuickBooks (not accrual), for the import to be successful. Journal entries may not import properly.

To prepare your files for the import of historical data from Quickbooks Desktop Pro to MoneyMinder you will need to export two QB reports to do an import for a financial year. They must be the same date range and have the same financial year indicated in the name of the report.

You will also need your MoneyMinder Customer ID (see note at end of this article for locating this).


1 – Log into your Quickbooks Desktop Pro account and go to Reports > Banking.


2 – Select the Deposit Detail Report:


3 – Choose the date range for the full year that you want to import (e.g. from 1/1/2020 – 12/31/2020 or from 7/1/2019 – 6/30/2020). Make sure these columns are showing: Type, Num, Date, Name, Account, Amount.


Note: Run a separate report for each financial year you’d like to import.


4 – Choose Excel and Create New Worksheet. You do not need to select any other options.


5 – Choose Export.


6 – Once the file has been downloaded, go to Excel, open the file and Save As using the following naming convention: MM Customer ID Deposit Details Report FY20xx (e.g. MM13211 Deposit Details Report FY2025).


7 – Click Save.


8 – Next we’ll get the Withdrawal reports. Go to Reports > Banking.


9 – Select the Check Detail Report:


10 – Choose the date range for the full year that you want to import (e.g. from 1/1/2020 – 12/31/2020 or from 7/1/2019 – 6/30/2020). Make sure these columns are showing: Type, Num, Date, Name, Item, Account, Paid Amount, Original Amount.


Note: Run a separate report for each financial year you’d like to import.


11 – Choose Excel and Create New Worksheet. You do not need to select any other options.


12 – Choose Export.


13 – Once the file has been downloaded, go to Excel, open the file and Save As using the following naming convention: MM Customer ID Check Details Report FY20xx (e.g. MM13211 Check Details Report FY2025).


14 – Click Save.


15 – Email your files to [email protected].

Subject: QB Desktop Import files for your organization’s name and Customer ID.
Attach the 2 files (per year).
Include your name and contact phone number in case we have questions.


NOTE:

You can find your and Customer ID under your name in the sidebar and the organization’s name in the header in your MoneyMinder Account.
