Zeffy Now Integrates MoneyMinder

Zeffy has taken off with volunteer-run groups for one reason: there are no platform fees. It runs on optional donor tips instead, so a $50 donation shows up as $50 for your organization.

How it works

Step one — link the account. Go to Banking in the sidebar, click the logo for the account you want to connect, verify the account details, and enter your statement balance as of the start of your financial year. Then authorize the connection through the platform’s own login. MoneyMinder never sees or stores your credentials.

Step two — import transactions. Click Actions next to the clearing account, choose Import Transactions, pick your date range, and fetch. You’ll get a list of everything waiting.

From there you have two paths:

  • Import individually when you want the detail — who paid, what for, receipt attached.
  • Bulk import when a whole batch belongs to one budget line. Toggle Bulk View, select the transactions, assign a category, and import them all at once. Fifty spirit wear orders, one click.

Anything you don’t want in your books gets hidden with the eye icon.

Step three — record the payout as a transfer. When the platform moves money to your checking account, that’s a transfer, not new income. If you have bank integration, you can import it as a transfer directly from your bank account. Otherwise, use Actions > New Transfer from the clearing account to the checking account.

Why the clearing account matters

Each linked platform gets its own clearing account in MoneyMinder, which mirrors how the money actually moves. In this case, funds sit with Zeffy until they’re transferred, and your books reflect that. Your clearing account balance should match the platform balance — a built-in check that nothing slipped through.

How do I record a Zeffy payout?

A Zeffy payout is two entries, not one. First, import the individual donations into your Zeffy clearing account — that’s your income, categorized to the right budget lines. Then record the payout itself as a transfer from the clearing account to your checking account. The donation is income; the payout is the same money moving. Recording the payout as a second deposit double-counts it.

How do I reconcile my Zeffy transactions?

Reconcile the clearing account against Zeffy, and your checking account against your bank statement. After you’ve imported donations and recorded the payout as a transfer, your MoneyMinder clearing account balance should match what Zeffy shows as pending. If the two don’t agree, you’re either missing an import or missing a transfer — and you’ll catch it that month instead of at year-end.

How do I get Zeffy payouts into a treasurer’s report for my board meeting?

The problem is that Zeffy sends you one lump payout — say $925 — while your board needs to see which programs that money actually funded. Getting there means breaking the payout back into its individual donations and assigning each one to a budget line. You can do that by hand: export the payout report from Zeffy’s Finances tab and enter the donations into whatever you use for books. Or you can use bookkeeping software that connects to Zeffy directly.
